Privacy Policy for Tokr International Applications

This Privacy Policy explains how Tokr International ("we", "us", or "our") collects, uses, stores, and protects your personal information when you use our applications developed in .NET, specifically the Tokr Hub (desktop application) and our suite of plugins including the Adobe Illustrator File Type for Trados 2024 (collectively, the "Software").
We are committed to protecting your privacy and ensuring that your personal data is handled in compliance with applicable data protection laws, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA), as well as Microsoft Store Policies (including Policy 10.5 regarding personal information).
By using the Software, you consent to the data practices described in this policy.
1. Information We Collect and Access
When you use the Tokr Hub or our plugins, we may access, collect, or transmit the following types of information:
A. Personal and Account Information
- Account Identity: When you log in via third-party OAuth providers (such as GitHub or Microsoft) using our authentication services, we receive basic profile information, including your email address and a unique user identifier.
- Payment and Billing Information: To process subscriptions and purchases, we collect necessary transaction metadata. Payment processing is handled securely by our third-party payment providers (e.g., PayPal, SnapPay). We do not collect or store your full credit card numbers or financial credentials on our servers.
B. Device and Licensing Information
- Hardware/Machine IDs: To prevent license abuse and ensure compliance with our terms, we generate and collect a unique alphanumeric identifier based on your Windows device's hardware (Machine ID). This is used strictly for verifying active and valid licenses.
- Application Version and Environment: We collect information regarding the version of our Software you are running and your host application environment (e.g., Trados Studio version) to ensure compatibility, deliver appropriate updates, and verify installation prerequisites.
C. Processed Content (File Data)
- Temporary File Processing: When using translation plugins (such as the Adobe Illustrator File Type for Trados 2024), your source files (e.g.,
.ai files) are securely transmitted to our cloud backend for conversion to .xliff and subsequent rebuilding. These files are stored only temporarily for the duration of the processing request. They are automatically deleted from our servers as soon as the conversion process is complete. We do not use your source files or translations to train artificial intelligence models.
D. Usage and Error Data (Telemetry)
- Telemetry and Error Reporting: We may collect anonymized diagnostic data, crash reports, and basic feature usage statistics to help us identify bugs and improve the stability and performance of the Software.
2. How We Use Your Information
We use the collected information for the following purposes:
- To Provide and Maintain the Software: Authenticating your identity, managing your plugin library, tracking your subscription plans, and securely processing your translation files.
- To Enforce Licensing Terms: Checking the validity of your license against your device's Machine ID.
- To Process Payments: Facilitating secure transactions for product purchases or subscription renewals.
- To Improve our Products: Analyzing error reports and telemetry to resolve technical issues and enhance user experience.
- To Communicate with You: Sending important administrative messages regarding your account, receipts, updates, and security alerts.
3. How Your Information is Stored and Secured
We take the security of your personal information seriously:
- Security in Transit: All data transmitted between your Windows device and our servers (including file uploads and login tokens) is encrypted using standard cryptographic protocols (HTTPS/TLS).
- Security at Rest: Authentication and database access are secured and managed by enterprise-grade infrastructure.
- Data Minimization: Temporary files processed by our plugins are automatically purged from system storage upon task completion, ensuring your proprietary translation data is not retained.
4. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We may disclose your data only to the following types of parties:
- Service Providers: We share necessary data with trusted third-party service providers who assist us in operating our services, such as cloud database/authentication hosts (Supabase) and payment processors. These providers are bound by strict confidentiality agreements.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., a court or a government agency).
Note: Our Software does not publish your personal information to outside services or third parties through the Software or its metadata without your explicit, opt-in consent within the application interface.
5. Your Rights and Controls
Depending on your location (such as under the GDPR or CCPA), you have the following controls and rights over your personal information:
- Access and Update: You can view and update your account details, active licenses, and subscription status directly within the Tokr Hub application interface.
- Correction: You can request that we correct any inaccurate or incomplete information.
- Deletion (Right to be Forgotten): You have the right to request the deletion of your personal account data. You can do this by contacting our support team. (Note: certain exceptions apply, such as maintaining transaction records mandated by tax laws).
- Data Portability: You may request to receive your data in a structured, commonly used format.
To exercise any of these rights, please contact our support team. We will respond to your request within the timeframe required by applicable law.
6. Children's Privacy
The Software does not knowingly collect personal information from children under the age of 13 (or 16, depending on jurisdiction). If you are a parent or guardian and believe that your child has provided us with personal information without appropriate consent, please contact us immediately, and we will take steps to promptly delete such data from our records.
7. Changes to This Privacy Policy
We may update this Privacy Policy from time to time as we add new features or functionality to the Software, or to reflect changes in Microsoft Store policies or legal requirements. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top of this document.
